Errand translation for counters, forms and procedures
With the Errands scene, Tolkivo translates a conversation at a counter live, in both directions, on one phone. You can ask which documents are needed, how to fill in a form and what happens next, while the staff member reads the same screen.
Before you go to the counter
Choose your two languages and the Errands scene. Tolkivo adapts its wording to applications, documents, counters and procedures, so the names of forms and procedures come out more accurately. Bring the documents you already have, and decide what you want to ask first.
At the counter
Tell the staff member that you are using a translation app, and place the phone on the counter between you. Explain what you want to do in one sentence, then answer the questions one at a time. When the staff member lists documents or steps, ask them to say each one separately.
After the visit
Procedures often need a second visit, so the saved conversation is useful. AI review can turn it into a list of the documents to bring, the steps to complete and the dates that were mentioned. Export the list as PDF, Markdown or plain text to keep with your papers.
Example: registering a new address at a city office
I moved here last week and would like to register my new address.
先週こちらに引っ越してきたので、新しい住所の届け出をしたいです。
在留カードとパスポートはお持ちですか。
Do you have your residence card and passport?
Yes, here they are. Do I need any other documents?
はい、こちらです。ほかに必要な書類はありますか。
こちらの届出書に、新しい住所と入居した日をご記入ください。
Please write your new address and the date you moved in on this form.
All right. How long will it take today?
わかりました。今日はどのくらい時間がかかりますか。
30分ほどです。番号札を持って、3番の窓口の前でお待ちください。
About 30 minutes. Please take your number ticket and wait in front of counter 3.
What AI review picks up from a counter conversation
For an errand, the useful result is a checklist. AI review lists only what the conversation actually says, and each item links back to the original and translation.
- Documents and forms the staff asked for
- Steps to complete, in the order they were explained
- Dates, waiting times, counter numbers and fees that were mentioned
- Open questions, such as a document the staff still had to check
Tips for errands at a counter
- Start with your goal in one sentence, such as “I want to open a bank account”.
- Show the document while you name it, so the staff can confirm it is the right one.
- Before you leave, repeat the list of what to bring next time and ask the staff to confirm it.
- Before you sign a contract or an official form, read the written terms and ask for a professional interpreter if you do not fully understand them.
